Panopto Archiving Policy
All videos in Panopto
- 0-14 Months - Videos available on-demand within the Panopto solution. If the video is viewed within this time frame, it resets the 14-month clock every time.

After 14 Months - If a video is not viewed (0 views) within 14 months, it will be Archived for 4 years.

Restore from Archive - The 14-month timing resets if a video is restored from the archive within 4 years.
14 months on demand → 0 views → archived
or
14 months on demand → viewed → remains active and on-demand

Deletion - If a video has been archived for 4 years with no views and has not been restored, it will be permanently deleted.

Process Note - Dartmouth will begin archiving all existing videos on December 9, 2024. This process will occur in “waves” over the next year. Simultaneously, the archival policy will also be applied to all new videos going forward.
Panopto is Dartmouth's video management system, enabling faculty, staff, and students to create, manage, and share video content easily. This platform is widely used to record lectures, conduct virtual presentations, and host instructional materials and meetings. Panopto provides a centralized repository for video content at Dartmouth.
- Panopto modified its storage policy and removed free, unlimited storage.

- This policy goes into effect for all new videos on December 9, 2024.

- Videos in "My Folder," which is the main folder.
- Videos in Canvas course folders.
- Zoom cloud recordings automatically transferred to the Meeting Recordings folder in Panopto.
- Videos in any other folder or subfolder within Panopto.

Archived videos may be restored simply by clicking the video in question and hitting "restore from archive." This process may take up to 48 hours.
Archived recordings can be restored by creators (owners) and viewers. Restoring a recording to the on-demand storage space can take up to 48 hours before it is available to view.
Certain videos (e.g., high-impact educational materials, research content, and critical departmental meetings) may be exempt from this policy but will require manual intervention to move them to an exempt folder. Faculty and departments are encouraged to identify essential videos and request assistance moving them to a designated folder. Please submit a ticket to request and move videos into departmental folders.
Users are encouraged to review their existing content and determine whether any videos should be stored in a departmental folder for long-term storage.
