This service is a request for facilitated access to an employee's account by a non-Dartmouth person or entity for personal information unrelated to the individuals' employment. Dartmouth employees may, but do not always, have an active account and access to Dartmouth systems for 30 days after their last day of employment. Non-Dartmouth persons or entities seeking access to an employee’s account to support the employee in relation to work expectations should be referred to the Employee Accommodations and Support process.
Supervisors attempting to access another employee's data should use the Request Access to Employee Work Data form.
Any requests for access to employee work data must be for legitimate institutional need as described in the Access to User-Related Electronic Information at Dartmouth.
Requesting Access to an Employee Account
All requests for facilitated access to a current or former employees’ account will be directed to the Office of Human Resources for approval. We do not grant facilitated access based solely on a manager or guardian’s request.
What you'll need to provide
- Contact information.
- A short description of the need for accessing this account.
- A description of the specific data that needs to be accessed (file names, file types, etc.).
- Where the data is currently stored.
- Note: You will be required to sign an attestation confirming executor or guardian/caregiver status.
Upon review of your request, an HR representative will contact you regarding the facilitated access. Please note, data in some systems may not be available for recovery.
