FindTime for Microsoft Outlook is directly integrated into Outlook mail desktop and web clients and can be used to create a meeting poll. The functionality of FindTime is similar to Doodle but built into your Dartmouth email.
How it works:
- FindTime shows what days and times work the best for you and the attendees when available using free/busy data
- Propose your selected times to all attendees and allow everyone to vote and quickly come to a consensus
- FindTime sends out the meeting invite on your behalf
How to use FindTime in Outlook on the Web (BWA):
- If your mailbox is in the O365 environment (rather than Gmail), open a web browser and log in to bwa.dartmouth.edu.
- Click + New on the top toolbar of your email inbox to create a new message.
- In the bottom right corner of the message composition window, click the red and white FindTime icon.
- The first time you use FindTime, you will need to follow the prompts to link FindTime to your account.
- Enter recipient names in the "To" field of your email message.
- FindTime will automatically update to display suggested times based on recipients availability. In the FindTime window, select the Duration of your meeting from the dropdown menu, then scroll down and click Sort By Time to display all time slots on the selected day.
- Use the left and right arrows at the top of the FindTime window to select the month and day you would like to propose.
- Click on the potential meeting times you would like to include, the time will turn green to indicate it has been selected.
- Click Next when you have all the times selected, then Insert to email to insert the FindTime meeting poll into your email.
- Edit FindTime preferences as desired for Notifications, Auto Schedule, and Hold
- Make sure you have an email Subject and any text you would like in your message, then click Send
- Within a few minutes, you will receive a confirmation email from FindTime Notifications with links to see status/update times of your meeting poll.
