How to Report Spam, Phishing, and Not Junk in Microsoft Outlook

Dartmouth uses Microsoft's Exchange Online Protection system’s (EOP) built-in malware and spam filtering to protect inbound and outbound messages from transference of spam or malicious software. For junk email and phishing filtering, Microsoft controls these settings and uses reports from customers (among other things) to maintain up-to-date information about spam or phishing. There are several ways in which you have some control of this type of mail.

Mark an Email as Junk or Phishing

Using Outlook 2016 (Macintosh)

  1. With the message selected or open, click the Junk button from the Home tab.
  2. Report the message as Junk. In addition to notifying Microsoft of this bogus email, this will also add the sender to your Blocked Senders list. 

Using Outlook 2016 (Windows)

  1. Right click the message.
  2. In the secondary menu that opens, choose Junk > Block Sender.
  3. This reports the message to Microsoft and also adds the sender to your Blocked Senders list.

Using Outlook on the Web (OWA)

  1. Click the message.
    Note: Your mailbox must be in Dartmouth's o365 environment (rather than Dartmouth's Gmail environment) for this to work. 
  2. Report the message as Junk or Phishing. In addition to notifying Microsoft of this bogus email, this will also add the sender to your Blocked Senders list.

Note: A copy of the message will also be provided to Dartmouth IT staff for internal analysis.

Mark a Message Incorrectly Flagged as Junk to Microsoft as Not Junk

From your Outlook 2016 inbox (Macintosh)

  1. With the message selected or open, click the Junk button from the Home tab.
  2. Report the message as Not Junk. This moves the message to your inbox and adds the sender to your safe sender list.

From your Outlook 2016 inbox (Windows)

  1. With the message selected, right click the Junk button.
  2. In the secondary menu that appears, choose Junk Not Junk.
  3. This moves the message to your inbox and adds the sender to your safe sender list.

From Outlook on the Web (BWA)

  1. Click the message.
    Note: Your mailbox must be in Dartmouth's o365 environment (rather than Dartmouth's Gmail environment) for this to work.
  2. Choose Not Junk. This moves the message to your inbox and adds the sender to your safe sender list.

Note: A copy of the message will also be provided to Dartmouth IT staff for internal analysis.

Add an Email Address to your Blocked Senders or Safe Senders List

Use this option to flag this sender, but only for your account. Following these steps will NOT report this sender to Microsoft so others that use Microsoft's email products will continue to receive messages from this sender.

Using Outlook on the Web (BWA)

  1. Right click (Windows) or Ctrl + Click (Macintosh) the message in your Inbox that you want to always treat as junk, or the message in your Junk Mail folder that you always want to treat as not junk.
    Note: Your mailbox must be in Dartmouth's o365 environment (rather than Dartmouth's Gmail environment) for this to work.
  2. From the menu that appears click Mark as junk to have mail from this sender always go to the Junk mail folder, or click Mark as not junk to have mail from this sender always go to your Inbox.
  3. If you change your mind, you can remove this sender from your Blocked Senders or Safe Senders list, which is found in the Block or Allow window.

Using Outlook for Windows

  1. Right click the message in your Inbox that you want to always treat as junk, or the message in your Junk Mail folder that you always want to treat as not junk.
  2. From the menu that appears click Junk and then Block Sender to have mail from this sender always go to the Junk mail folder, or Never Block Sender to have mail from this sender always go to your Inbox.
  3. If you change your mind, you can always remove this sender from your Blocked Senders or Safe Senders list, which is found in the Junk E-mail Options window.

Using Outlook for Macintosh

  1. Outlook 2016 for the Mac no longer provides “client side” junk filtering when connected to Exchange Server.  If you navigate to Outlook Preferences and then click on Junk, you may see a message that these settings only apply to non-Exchange accounts. Even if you add safe or blocked senders to the list in the Junk window they will be ignored by your Outlook 2016 client for any Exchange email accounts.
  2. To add an email address to the blocked senders or safe senders list, follow the instructions in this article for Outlook on the Web (BWA) above.

Set Email Filtering in Outlook 2016 for Windows

  1. From your mailbox, click Junk, found in the Delete group on the Home ribbon.
  2. Click Junk e-mail options or Junk E-mail Preferences, depending upon your version of Outlook.
  3. In the window that appears, choose the level of junk e-mail protection you want. This level of protection will be applied to messages after the EOP filtering, the safe senders list, the blocked senders list, and any inbox specific rules you may have created have been applied.
  4. Click OK.
