Setting Permissions for Resources

Note: This must be done by someone whose mailbox resides in the O365 environment; not the Gmail environment.

Set who can schedule the resource directly

Option 1: Outlook for Windows

  1. The owner of the resource needs to log into their account in Outlook for Windows.
  2. Click the File ribbon then click Open & Export then Open Other User's Folder.
  3. In the Name field, enter the name of the resource.
  4. In the Folder Types field, select Calendar.
  5. With the resource open, right-click on the resource, choose Properties, then choose the Permissions tab.
  6. Add the appropriate permissions for this calendar, making sure to set the two owners identified for this resource with "owner" permissions.

Option 2: Outlook on the Web (BWA)

  1. One of the owners of the resource needs to login to https://bwa.dartmouth.edu/ with their NetID and password.
  2. Go to the Calendar tab
  3. Open the resource you want to add a person to
  4. Click Share in the upper right hand corner
  5. Add the person to the share.
  6. Choose from the list of permissions

Set who can schedule the resource by invitation

  1. One of the owners of the resource needs to login to https://bwa.dartmouth.edu/ with their NetID and password.
  2. In the upper right corner of the window, your name will appear. Click your name, then from the menu that appears, select Open another mailbox.
  3. In the Open another mailbox field, enter the name of the resource whose permissions you want to modify. Click Open. You will then be placed into the account for that resource.
  4. In the upper right corner, click the Settings icon > View all Outlook settings > Calendar.
  5. In the left hand navigation bar, click Resource Scheduling.
  6. In the These people can schedule automatically if the resource is available field, click Specific people and Groups.
  7. In the Add Contact field, enter the name of a person who can modify the calendar for this resource and click on their record that appears from the Directory. Continue entering names until everyone is listed who should have rights to modify this resource's calendar. Click OK.
  8. Click Save.
  9. You can now close the tab, or click the account name of the account you are logged in to, and click Sign Out.

NOTE: Users can open the resource calendar by selecting it from Address Book or Room List, making sure the Global Address List and not the Offline Global Address List is selected.
