Internal Signers Not Receiving Notifications to Sign

ITC has recently learned that some DocuSign notification emails sent to internal signers (recipients with @dartmouth.edu email addresses) may have been marked as phishing attempts. These emails would have been quarantined and would not have reached the recipients.

Was I affected?

We can't say for sure, but there is a chance. Typically, documents are sent to external parties before internal parties. If you have a DocuSign envelope that seems to be taking longer than usual and it is awaiting action by an internal party, it is worth investigating.

Please note that this was not an issue for external parties. If a non-Dartmouth recipient states that they have not received a notification email, they will need to check with their resources to determine if there is a problem on their end. What should I do?

Log into DocuSign. Your home page should show you the number of documents that are awaiting action by others.

Click on the number of envelopes "Waiting for Others" or on the "Agreements" tab of the main menu. Both options take you to the same place.

You will see all envelopes and who has yet to take action. Click "Resend" for the envelope you want to address. DocuSign will send a new email to the recipient. Rules have been adjusted so that the new email should arrive in their mailbox. We also advise that you reach out to the internal party to alert them that a notification is on its way. If they do not receive the email, please submit a ticket as detailed at the bottom of this page.

Using DocuSign Reminders

It is best practice to set automatic reminders in DocuSign.

When constructing a new envelope, click "Advanced Options" in the upper right corner of the screen.

In the "Reminders" section, you can "Turn on auto reminders" and define the number of days before the first and all subsequent reminder notifications.

DocuSign will automatically send reminders to recipients. It's been reported that reminder emails were not caught and quarantined, so this is potentially a way to ensure that your documents avoid this issue altogether.
