CourseKey - Adjusting Attendance

Administrator and Staff Users in CourseKey can update the Attendance Records for a student after a class has finished.

In order to have access to do this, a user must be

  • The primary instructor for the course

  • An admin for that course (additional instructor in Banner)

  • A CourseKey admin with the ‘Edit Grades’ permission

Instructors can edit attendance up to two days after the class meeting. CourseKey Admins have no time limit for these changes.

Adjusting Attendance steps

Log in to the CourseKey site at https://portal.thecoursekey.com

In the main Courses list, click on the name for the Course to be adjusted

On the Attendance tab, switch from Scheduled Attendances to Completed Attendances

In the Completed Attendances list, click on the row with the class to be adjusted.

You can see the student roster, and also the time remaining for Instructors to make edits in the top right corner. This is listed in minutes and seconds.

To mark one or more students as present for the class, check the boxes next to their names and then click the ‘Adjust’ button that appears at the top of the page.

A sidebar will be shown that allows the times to be adjusted. Select the ‘Award Full Time’ option.

On the next screen, enter a reason for the adjustment, e.g. ‘Forgot Phone’, and click ‘Save’. Please note that students will be able to see the message that is added.

The adjusted attendance will now be shown in the roster list with a blue flag to show that an admin has modified it. (You may need to reload the page to see the new values)

To view the text that was added for an adjustment, click on the Student name in the list.

This shows a details page for that attendance session. To see the text itself, click on the record row to expand it.
