How-to guide to setup your video conference session

Conference Session - Start

  • Wake Up Crestron Touch Panel.
  • Select Video Conference Tab.
  • Select Send to Projector.
  • Select Do Not Disturb.
  • Select Available.
  • Verify Conference Volume (Conf Vol) is not on Mute (red).
  • Un-mute by raising or lowering the volume level.
    • Volume control is used for sound level of the remote participants.
  • If the Conf Vol of your remote participants is not loud enough,
    • Go to presentation tab.
    • Go to Program Volume to adjust sound level in the room
    • Select Video Conference Tab to return to the conferencing controls.
  • Select Call button.
  • Enter the IP address of the scheduled conference call, as shown in the example below.
    • Example:162.255.36.11 (must type the dots).
  • When prompted for Meeting ID, select Touch Tones.
  • Enter the Meeting Id followed as instructed (i.e., Zoom # 1230004567 #).

Camera

  • Select Camera.
  • Select Front or Rear Camera.
  • Check the presets to see if one of the choices are suitable.
  • If camera presets do not meet your preference, use the pan/tilt control or zoom control to adjust the view.

Sharing Content - Start

  • Select Presentation button
  • Select source (e.g., laptop, installed computer, document camera, etc.)
  • Select the Present button
  • If using more than one source, repeat the above steps to switch source content during the conferencing session.

Microphone

  • Hands Free Microphones:  Some rooms have installed ceiling microphones at the front of the room and over the audience.  Therefore, lectern or wireless microphones are not needed.
  • To use a lectern mic (if installed) or wireless microphone (lapel or handheld).
    • Select the Mic Volume button.
    • Verify the microphone being used is not on Mute (red).
      • Go to Presentation Tab
      • Select the Mic Button
  • Test that the in-room sound from the mic to determine a good level for the in-room attendees.
  • If desired, select the Mic icon to mute when you do not want remote attendees to hear in room sound (e.g., local attendees arriving before official start of the meeting).
    • Re-select the Mic icon when you are ready to present to remote attendees

Viewing Options

  • To view your remote guest on the projection screen
    • Select, Send to Proj
    • If more than one projector, choose where you would like the image to be projected.
  • If remote guest needs to share content
    • Select layout Options, a popup menu will appear.
    • Select the layout option you prefer to view the shared content.
  • To see the in-room view of your local attendees or presenter on the projection screen
    • Select Self-View.

Sharing Content - Stop

  • Select Presentation button
  • Select Stop Presenting button

Conference Session - End

  • Select END button.
  • Select Available button, a drop-down menu will appear.
  • Select Do Not Disturb button.
  • If you are done presenting to local attendees, Select Power icon.
  • Select Shutdown Displays Only.
