Maintaining Address Books on Konica Minoltas

Step-by-Step

Address books on Konica Minolta machines can only be maintained by departmental administrators who have been granted this right. Please work with your department's IT support office if you require this.

Note: This only works from a Windows computer. If you have a Macintosh computer, and need to use PageScope, it will need to be done via RDS. You will need to contact your department's IT support office to gain access to PageScope via RDS. 

  1. Locate the Application in the Application list or shortcut on your desktop - Konica Minolta 
    Data Admin V4 or Device-Setup 
  2. This will open the Konica Minolta Data Administrator aka PageScope
  3. Click the Settings for Multiple Devices tab.
  4. Click Address Book maintenance.
  5. Click the device whose Address Book you need to modify then click Select
  6. Click Next. A copy of the address book information from the device select will be copied to your computer.
  7. When the import is complete, click Next.

Adding New Addresses

  1. If you just need to add entries, you do not need to select any entries, just click Next.
  2. Click Add.
  3. Click Email then OK.
  4. In the Abbreviated name field enter the name that you want to appear on the Konica screen.
  5. In the Email Address field, enter the complete email address to which documents scanned to this Abbreviated name should be sent. Important: This must be a full email address (e.g. john.a.doe@dartmouth.edu), not just a name (e.g. John A. Doe).
  6. Check the box next to Main if you would like the email address to show on the favorites page on the Konica.
  7. Click OK.
  8. Add any additional address you want, repeating steps 4-6 for each address. When you are finished adding address, click Next.
  9. Click Start. The changes will be copied from your computer to the Konica.
  10. When it is complete, click Finished.

Modifying or Deleting Existing Addresses

  1. Click any entry you want to change the click Select.
  2. When you are finished selecting all the entries that you want to change, click Next.
  3. Any items selected will appear. Click the first address you want to change then click Edit or Delete - depending upon which you want. 
  4. Update the information as appropriate, then click OK.
  5. Modify or delete any additional addresses you want, repeating steps 3 and 4 for each. When you are finished modifying and/or deleting addresses, click Next.
  6. Click Start. The changes will be copied from your computer to the Konica.
  7. When it is complete, click Finished.

Troubleshooting

  • Unable to export due to Audit Log items exceeding limit?
    • Request Service from the Konica Minolta technician to clear the logs.
    • Ask someone from the Service Desk to make changes in the web portal of the printer. 
  • Unable to interact with this printer? Ensure that you are using the latest version of PageScope.
