Preparation and Security for Zoom Webinars and Meetings

Preparation for Zoom Webinar

  • Host will schedule the webinar with appropriate options selected to maintain a desired level of security based on anticipated attendance.
    • Review Dartmouth's quick guide for Securing Zoom Meetings and Webinars (PowerPoint attached to this article)
    • Review Dartmouth's more in depth guide Zoom Security Setting Comparison (Excel attached to this article)
  • Host will designate panelist(s) (Note: the static camera at the lectern serves as a “panelist” in the webinar for all in-room presenters. Any remote presenters would have separate panelist designations.

 

Webinar Security and Privacy

  • Q&A questions posed by attendees are only visible to Host/Panelists (select this in Webinar settings)
  • For screen shared content, if it is not being shared directly by the presenter, consider renaming the sharing source to the organization name rather than using an individuals name.

Meeting Security and Privacy

Basic level ––

  • Enable Waiting Room 
  • Only authenticated users can join meetings – (minimum option: Sign in to Zoom)
  • Only authenticated users can join meetings from Web client
  • Host and participant video set to OFF (which can be turned on after start of meeting). You can set this per your account or per meeting in your Zoom settings. 
  • Mute participants upon entry
  • Limit Screen Sharing to Host only
  • Disable Chat
  • Set Identify guest participants in the meeting/webinar to ON
  • Set Allow removed participants to rejoin to OFF
  • Set Allow participants to rename themselves to OFF

Extra security steps if the Host anticipates inappropriate disruptions ––

  • Security Button - Please familiarize yourself with the security button at the bottom of Zoom when you are a host of a meeting. You have many options, including the following:
    • Lock Meeting
    • Disable screen-sharing
    • Turn off chat or file sharing
    • Enable Waiting Room
    • Give/Revoke participant activities

  • Set Hide participant profile pictures in a meeting to ON
  • Set Report participants to Zoom to ON
  • Disable Annotation
  • Disable Whiteboard
