How to Share Documents with Others

Here are tools that can be used to share documents (click on the tool name for more info on how to access or use the tool).

Please remember that sensitive or confidential information should only be shared over email when using encrypted systems.

For each course, instructors should advise students about how they would like to share documents.

  • Canvas

    • Used strictly for class work
    • ​​​​Faculty - Please visit the Teach Remotely website for more information.
  • Google Drive 

    • Google Drive has security controls and version management by file
    • You can create Shared Drives that are not owned by a personal account so they do not disappear when someone leaves Dartmouth
    • Unlimited storage
    • Can share with others that are not affiliated with Dartmouth
    • Works seamlessly with other Google products (Google Sheets, Google Docs, Gmail, etc.)
    • Access files offline if you have installed Drive Stream on your device
  • DropBox

    • Works with either Google or Microsoft documents
    • Security controls and version management
    • Allows for password protected files or expiration dates for temporary access
    • Unlimited storage
    • Access files offline if you have installed the DropBox Desktop or Mobile App
  • OneDrive 

    • OneDrive has security controls and version management, but not good for long term storage because it's a personal account that disappears when someone leaves Dartmouth
    • Works seamlessly with other Microsoft products (Word, Excel, Outlook,etc.)
    • Allows for password protected files or expiration dates for temporary access
    • Unlimited storage
    • Access files offline if you have installed the OneDrive application on your device
