Zoom - How do I schedule Zoom meetings for other people using Outlook

I have been added as a delegate to someone's Zoom account. How do I schedule Zoom meetings for them within Outlook?

Pre-requisites

In addition to being granted access to a person's Zoom account, you will also need to be granted access to the person's Outlook calendar, typically as an Editor. Refer to the related Zoom article and Email & Calendar Delegation article before proceeding.

Steps

  1. Open your Outlook application.
  2. Select your calendar view and check to confirm you have added the other person's calendar to your list of calendars.
  3. Double-click on the time block on their calendar to schedule a meeting.
  4. Enter the initial calendar event details, such as meeting title, invitees, and date/time information.
  5. Outlook for Windows: Click the option to Schedule a Meeting in Zoom, which should be on your toolbar ribbon. Depending on your plugin, this may also appear as Zoom on your toolbar, with a drop-down to Add a Zoom Meeting
  6. The following popup window should appear. Look closely to confirm you are Scheduling for the intended person for whom you are a delegate.
  7. Outlook for Mac and Outlook Online: Click on the Zoom icon in your toolbar and click on the Settings option and then change who you are Scheduling for in the sidebar that opens.


     
     
  8. Once meeting information and Zoom host are confirmed, click the Save button (Windows) or Add Zoom Meeting button (Mac/web).  

Updating an existing Zoom meeting in Outlook

If you are editing an existing meeting, or if you have just added a meeting to the event but have not saved it, you can make changes to the calendar event and to the Zoom event.

Steps

  1. With the calendar event open in Outlook, locate the Zoom area in your toolbar and click to select the Settings option.
  2. This should open a Zoom sidebar where you can make changes to the Zoom meeting settings, including who you are scheduling for. NOTE: If you or the person for whom you are the delegate are not the owner of the Zoom meeting, you will not be able to make changes.
  3. Click the Update button when finished, or if you want to remove the Zoom meeting completely, click the Remove button.
