Guest Accounts

There are cases where a faculty member would like to invite or approve someone from outside of the Dartmouth community to access limited resources as part of a workshop, an internships, or a scoped collaboration requiring a netID and/or VPN access. In such cases, the individual will need to request a "Guest Account."

Examples of guest account candidates:

  • a colleague from another institution who needs access to shared research content
  • a student participating in a short-term workshop requiring access to HPC tools
  • an intern working with a faculty member or research group who needs access to an internal departmental/faculty server

Friends and family members of Dartmouth employees and students are not eligible for guest accounts, unless they are actively engaged in Dartmouth sponsored work or collaboration.

It is important to note that while these guest accounts do not have a Dartmouth email box associated with them, they will allow access to Global Protect VPN connection. They are set up to provide users with a NetID and password needed to also authenticate into Eduroam if working on campus. Email addressed to these accounts will automatically be forwarded to the non-Dartmouth email account specified when the guest account is set up.

  • NOTE: Guest accounts will automatically expire after 16 weeks and will need to be renewed by the original approving faculty member, or with ITC assistance.

A Dartmouth guest account controls access to some Dartmouth resources, ranging from Library resources to networking resources to IT support resources. Only those people who are actually engaged in a Dartmouth collaborative role should be granted an account. If accounts are granted inappropriately, the services that should be provided to those who are pursuing the mission of Dartmouth could be delayed.

The guest will need to fill out a Guest Account Request Form, specifying the faculty member who will verify the request. That faculty member then receives an email asking them to  approve the request.

  • When creating a guest account, it is important that the guest applicant enter their full name so that if they were here previously or if they return later as a student, employee or guest in the future, the pre-existing account will be reactivated and avoid future account duplication. It is especially helpful if the guest has an existing netID from a prior engagement with Dartmouth that they enter it into the appropriate field on the form.
