What it is:

Partial Match Resolution Manager is a custom web application that will display Unresolved account matches to be reconciled, as well as Resolved account matches from the past.

How to access:

Service Desk Manager(s) provide approval for access, which is granted via ticket to Kemeny Team.

How it works:

A new account is requested through a source system:

  • HRS- Faculty and staff
  • BAN - Students
  • OIM account creation form - Sponsored, Dept, Service, ORG accounts
  • ADV - Program Participants (PROGPART)

The new account runs through the partial match process and will hit the Name Match table based on common letters of the names, dates of birth, SSN and personal email address.

  • If any one of these match an existing record in midPoint, the account creation process stops for reconciliation.

For Unresolved matches, the new requested account will be compared to the account it matched to.

  • There can be more than one midPoint Record that matches an incoming Source Record. Be sure to check all matches.
    • The Comparing field has a drop menu for multiple potential matches to switch between records.

  • To determine that the two records are referencing the same person, or the same account, will need to match on at least three data points
    • Name (may be in Display name, first, mi, or last names)
    • Date of Birth
    • Last 4 SSN
    • Personal email address
       
  • When you find a match -

If three data points match, and you determine the person or account is the same as existing, further work may need to be done before processing the match in the Partial Match app.

  • Details with regards to employees and students:
    Incoming Source Record information displayed on the Partial Match page, shows that HRS and BAN are trying to assign a new NetID.
     
  • Existing OIM Record displayed on the Partial Match page, shows that record already has an assigned NetID, so...
    • If there is a match (same person), before you process the match, you need to contact the appropriate registrar to let them know so they can update HRS or BAN to match the existing NetID.
    • Once notified that HRS/BAN are updated you can process the match (i.e. select Link to displayed OIM Account) in Partial Match.
      • Example:
        Hi Linda,
        New faculty member in Path & Lab Med, and HRMS is assigning F005BX1
        Matches to existing Sponsored account in OIM NetID F003N3F
        Please update HRMS to use F003N3F for Andres E. Mindiola Romero

         
  • The following sources can be used to help validate whether a partial match (or not a match):
    • OIM
    • Banner (Spaiden) - Students
    • Advance - Alumni
    • IRA reports
    • Registrar contacts
       
  • OIM account creation form matches
    • Refers to manually created SPON, DEPT, SERVICE, ORG, GUEST accounts.
      • Check midPoint (not HelpDash) to see if the match is an existing account,
        • HelpDash doesn't always show disabled accounts, use midPoint to search for duplicates.
        • Be sure to check for account names with words in common, as a pre-existing account might be worded slightly different.
        • Does the naming convention of the new partial match following an existing string of accounts (such as test accounts or service accounts). Don't be shy to suggest an account name that is consistent with existing accounts of the same theme.
      • if an existing account that is inactive, use the Action menu to select Link to Displayed OIM Account.
      • If an existing account is active, notify the requestor/approver  - wait for them to fix the source record and notify you.  Once the source record is updated, use the Action menu to Mark request Invalid in Partial Match.

  • Not a Match - If it is clear that the source record is not the same person or account as the existing OIM record, then create a new account.
  • Obvious name differences, with no other match or only DOB matches, etc. are not a match. If you are not sure, have the appropriate parties get more info or contact the new person for confirmation.
