DTEN User Guide

Overview

DTEN is a small to medium conference room solution which provides a Zoom Room experience on a touch screen display and accompanying Zoom Room controller touch panel. This guide will walk you through the buttons on the DTEN, how to join a meeting, and how to schedule a Zoom Meeting in the conference room.

Control Overview

  1. New Meeting: Start an instant Zoom Meeting
  2. Join: Join a scheduled meeting by entering the meeting ID
  3. Whiteboard: Start a whiteboard session using the DTEN touch features
  4. Sharing Key: Used to share content to the DTEN from a Laptop or Mobile Device
  5. Contacts: Browse Dartmouth contact database and invite to meeting
  6. Share Content: Displays Instructions on how to share content to the DTEN
  7. Calendar Events/Upcoming Meetings: Used to display and start/join upcoming meetings

Join a Meeting

Using this number pad you can type in the meeting ID and passcode of the zoom meeting you are trying to join. At the bottom there is also an option to input the meeting codes for a Microsoft Teams, Google Meet, and Webex meeting.

  1. Tap "Join" on DTEN display or table-top touch screen
  2. Enter in a Zoom Meeting ID or Select another service listed below (Microsoft Teams, Google Meeting, or Webex)
  3. Tap "Join" to join the meeting

Join Meeting Prompt

Schedule a Zoom Meeting via the Outlook Calendar

You can add DTEN to a scheduled meeting, and the meeting will appear in the Calendar Events/Upcoming Meetings area on the DTEN dashboard. Scheduled meetings can be joined with one touch.

  1. Install the Zoom add-in for Microsoft Outlook (BWA/OWA users should install Outlook Web Add-In)
  2. Schedule a meeting in Outlook using the Zoom add-in and Invite the Zoom Room to the Zoom meeting as an attendee, e.g. 4 Currier 215.
  3. Enter Zoom meeting information by selecting the Zoom icon that appears above the meeting invitation.
  • A Zoom invitation opens
  • Enter information
  • Select Add Zoom Meeting and Send

Using the HDMI (laptop) Connection  

The DTEN also provides a way to share content through an HDMI connection creating a local presentation experience or by connecting during a Zoom meeting to share your screen via HDMI. 

Using DTEN as Display for Local Presentation:

  1. Connect your device to the provided HDMI Cable on the left side of the DTEN  
  2. Select “Yes” on the prompt to switch to “BYOD mode"
  3. Your laptop content should now appear on the DTEN display. Unplugging the HDMI will return you back to the regular Zoom Room mode

Using DTEN for Screen Sharing in a Zoom Meeting: 

  1. Start or join a Zoom meeting from the DTEN touch panel
  2. Once in the meeting, connect your device to the provided HDMI Cable on the left side of the DTEN 
  3. Your content should appear in the meeting  Note: You will notice a new icon on the Zoom bar at the bottom of the screen which says “HDMI.” By selecting this icon, you can stop and start sharing your connected display when desired
  4. To end the screen share, remove the HDMI from your device  Note: This will not end the Zoom meeting

Whiteboard

Write using your finger or an included stylus on the Zoom Whiteboard feature of the DTEN. For full details, please visit the Zoom Whiteboard article from Zoom.

In a Meeting

  1. Start a meeting in the Zoom Room.
  2. Tap the Whiteboard button on the screen, then tap Whiteboard NEW.
  3. Configure the participant permissions on the screen. Tap Open and Collaborate when you are finished.

Note: New whiteboards created in a meeting can be exported but are not auto-saved to the cloud. If a new whiteboard is not exported, it will not be saved.

While attending a meeting, if another participant or host opens a new Zoom Whiteboard, it will load on the Zoom Room for Touch for collaboration.

Out of a Meeting

  1. Tap the Whiteboard button on the screen, then tap Whiteboard NEW.
  2. Configure the participant permissions on the screen. Tap Open and Collaborate when you are finished.

Note: Whiteboards created outside of a meeting are only available for the current session. They cannot be saved or exported.
