F&A Updates - March 2020 - Week 2

Happy 1st Spring Monday, Colleagues,

As we begin our 2nd week of working remotely, we have some ideas we wanted to share.   

Work to go paperless (video training links below):

  • Use OneNote for notetaking, planning and organizing your work. Check out these OneNote training videos.
  • Use Microsoft Teams to stay connected through chat and conversation posts, share files, and notes with your colleagues.
  • Use Zoom to stay connected with colleagues.
  • Work with vendors to go paperless, as well. Encourage vendors to submit invoices directly to Invoice@Dartmouth.edu. If vendors cc you on the invoice submission to Invoice@Dartmouth.edu, please do not submit a Payment Request eForm.
  • Use your phone as a scanner (instructions are below).

Use your phone as a Scanner:

  • We have heard from a few that you have hardcopy of documents, but no way to get them onto your computer, because you don’t have a scanner. We recognize that not everyone has a cellphone, but if you do, you can scan or take a picture of the document. 

To scan a document with your phone:

  1. Place the document you want to scan on a flat surface, like a desk or table.
  2. Open the scanner or camera app on your phone, then follow the instructions that appear.
  3. The document will be saved as an image or PDF file on your device.**
  4. Email the document to yourself.

On your computer:

  1. Open the email and download the document onto your computer (make sure it is the pdf or image (*.jpg, *.gif) file and not the email message (*msg)).
  2. Verify that the document is clear and readable.
  3. Upload the document to the eForm or iExpense system as normal.

Additional Note:

  • Adobe Scan is quick and easy to download and use. It also has OCR (optical character recognition) capability, so the text within the document can be digitally read and copied.

  • You can access the Finance eforms and iExpense system from your cellphones browser:

Additional Information:

If you have already began your eForm on your computer, you can save without submitting.  When you receive the Pending Submission email, open the email and eForm through your phone and then upload it directly.
