PowerPoint Captioning on the Classroom Computer

This article applies only to AV spaces managed by Geisel AV that include an installed classroom computer configured as a routable video source to the room's displays.

PowerPoint Captioning Overview

  • Use the room's microphones to produce written captions that can be displayed during PowerPoint Presentations. 

  • Manage whether this feature is turned on or off by manipulating the PowerPoint settings on the installed Classroom Computer.

  • This feature will be turned on by default, though it is possible that you may find it in a non-working state if a previous user has turned this feature off. In cases where it's not working and you've confirmed that the setting IS turned on, please reach out to us. Refer to the last section os this article to check the main setting.   

    • Captions, by default, will behave as follows: 

      • Capture and transcribe all audio within the room via the ceiling microphones. 

      • Capture and transcribe video content that is embedded within the PowerPoint. 

      • They're set to English, and set to be positioned below the slide as to not interfere with any slide content.  

PowerPoint Captioning Step by Step Guide

  1. Ensure that you're seeing the Installed Classroom Computer on the main Display.

    • You may need to select "Class Mac" as a source. 

  2. Open your presentation and enter "presentation" mode by starting the slide show from one of the three methods shown in the diagram below. 

 

 

3. Once in "presentation mode", you can easily turn Closed Captioning off if desired. By default, this feature should be enabled automatically. If you notice it is off, you can also activate it from within presentation mode—or skip to the final section of this article for instructions if you're not seeing this feature turned on by default.

Please note: if you turn Closed Captioning off using this method, it will only remain off for the duration of your current presentation session. Once you exit presentation mode, the setting will automatically revert to its default (on) state. This behavior is intentional, ensuring that Closed Captioning is always enabled by default for the next presenter.

 

 

What to Check First When PowerPoint's Closed Captioning Fails

1. Navigate to the Slide Show button in the ribbon menu, and ensure that Always use Subtitles  is turned on.
