OnBase RDS Guide
Usage overview
OnBase is deployed as a published application in Remote Desktop Service (RDS). The experience makes it look as if it is running locally as an application on your desktop computer, but it is running on a remote computer. Due to that certain features will work differently running on a remote computer.
Intended use
This is setup for people working remotely who are experiencing difficulties using the OnBase Unity client due to poor Internet connectivity. Those people who use OnBase regularly in their daily work. For example, Finance form submissions or approvals is not an intended use, accessing these forms in a browser is the recommended approach.
Mac Users with RDS
Because OnBase is on a remote computer when clicking on Documents in Advance.dartmouth.edu, you will not be able to chose OnBase to open the documents. The hyperlink in Advance Documents is actually to the OnBase server. The workaround is to open Onbase through RDS and in the search button you can find all of the documents you were looking for.
Access RDS
For Windows PCs: Go to Dartmouth RDS access in your browser.
You will need to use the Windows VPN to access that link.
For Macs the instructions are here Mac RDS Setup If your Mac is managed by ITC, this can be deployed via JAMF.
You will need to use the Mac VPN when accessing RDS.
Users must be in the Active Directory group "RDS-OnBase Users" to use RDS. Most Unity Client users have been placed in this group, new users may need to contact Help Desk or their Finance Center to be added to that group.
Logging out:
When you are done your work be sure to close all documents and log out completely. This closes the OnBase and Remote Desktop session freeing the system up for others.
RDS usage differences:
Document Import on a Windows computer:
- Drag and drop of files to the Unity import screen does not work. To import a document, use file browsing to get to the file.
- Recommended - Create a folder on your PC C:\OnBase_Imports
- Click Browse to open Windows Explorer on the server
- Go to “This PC” – Server is the PC
- Your C:\ drive will be listed as C:\(Your Computer name)
- Go to C:\OnBase_Imports to find your documents
- If you do not create the c:\OnBase_Imports folder you can also browse the folders to find your documents.

Document import on a Mac computer:
Using Microsoft Remote Desktop for Macintosh, you can give the RDS connection access to the folders that you specify on your machine.
Start by right-clicking on the RDS connection in Microsoft Remote Desktop. A menu will open and one of the options will be Edit.
Click on Edit and you will get a small window.
To add a folder, click on the + button at the bottom left of the list. You will be able to choose a folder from your computer.
With that done, the folder will now appear in the file explorer when you open the Browse option in the Import dialog.
Print to OnBase:
The Hyland Virtual Printer does not work in RDS. If something needs to get printed, print to a PDF and import the document.
