Organizing Your Email
A cluttered inbox is nobody's friend. Outlook gives you several ways to keep things tidy:
- Folders - Create custom folders to sort messages by project, team, or topic. Right-click your inbox in the left panel and select New Folder to get started.
- Rules - Automatically route incoming messages to folders, flag them, or forward them. Go to Settings > Mail > Rules to set them up.
- Categories - Color-code messages and calendar events to visually group related items. Right-click any message and select Categorize to assign a color and label.
Calendar and Scheduling
Outlook's calendar makes it easy to manage your time and coordinate with others:
- Create events - Click any time slot on your calendar to add a meeting or appointment. Add attendees, a location, and a Teams link all from the same window.
- Check availability - When scheduling a meeting, use the Scheduling Assistant tab to see when your invitees are free before sending the invite.
- Share your calendar - You can share your calendar with colleagues so they can view your availability. Go to Calendar > Share Calendar and choose your sharing preferences.
Tasks and To-Do
Never lose track of what needs to get done:
- Tasks - Flag any email to turn it into an actionable task. Flagged messages appear in your To-Do list automatically.
- Microsoft To Do integration - Outlook connects directly with Microsoft To Do, so tasks you create in either app stay in sync. Access it via the To Do icon in the left sidebar.
- Daily planning - The My Day panel (top right of To Do) gives you a focused view of what's on your plate today.
Shared Mailboxes and Delegation
Working as part of a team or covering for a colleague? Outlook makes shared access straightforward:
- Shared mailboxes - If your team uses a shared mailbox (such as a departmental address), you can add it to Outlook and send, receive, and organize mail on its behalf. Contact the Help Desk to request access.
- Delegate access - You can grant a colleague permission to manage your email or calendar. Go to Settings > Mail > Delegation and sharing to add a delegate and set their permission level.
Zoom and Outlook Integration
Dartmouth supports Zoom as a conferencing option alongside Microsoft Teams. With the Zoom for Outlook add-in, you can schedule and manage Zoom meetings directly from your Outlook calendar.
Adding a Zoom Meeting to an Event
- When creating a calendar event, click the Zoom button in the toolbar (you may need to add the Zoom add-in first -- see below).
- Select Add a Zoom Meeting to automatically insert a meeting link, dial-in number, and passcode into the invite.
Installing the Zoom for Outlook Add-in
- In Outlook, go to Home > Get Add-ins (or More Apps).
- Search for Zoom for Outlook and click Add.
- Once installed, the Zoom button will appear when composing calendar events.
Tips
- Your Zoom meeting settings (waiting rooms, recording defaults, etc.) follow whatever is configured in your Zoom account -- the add-in just handles scheduling.
- If the Zoom button is missing after installing the add-in, try restarting Outlook or signing out and back in to the add-in via Home > Zoom > Settings.
Teams and Contacts Integration
Outlook and Microsoft Teams work together seamlessly:
- Teams meetings - When creating a calendar event, click Teams Meeting to automatically generate a join link for all attendees.
- Presence indicators - Outlook shows Teams presence status (Available, Busy, Away) next to contact names throughout the app, so you know the best time to reach someone.
- People cards - Click on any contact's name to open a summary card with their email, phone number, Teams chat button, and recent emails - all in one place.
