Airtable Omni Usage and Best Practices

Tags AI

Airtable includes a built-in AI assistant called Omni. This article covers what Omni does and best practices to keep your data secure while using it.

What is Airtable Omni?

Omni is an AI assistant built into Airtable. It can answer questions about your data, create and update records, search the web, and help you build and manage your bases, all using natural language chat.

Best Practices for Using Omni Safely

  • Omni uses your own account permissions. It can see and edit anything you can access. If you have broad access to sensitive data, so does Omni. If you're unsure whether you should have access to certain bases or fields, check with your workspace owner.
  • Be cautious about asking Omni to export, summarize, or compile sensitive information in ways that could then be shared outside Dartmouth. If data needs to go outside the institution, use a shared view instead of giving full base access.
  • Never paste sensitive personal or institutional data, such as Social Security numbers, passwords, or financial details, into Omni's chat.
  • Omni can create, update, and delete records on your behalf. Airtable keeps a visual activity feed showing changes made to each record, so if something looks off after using Omni, you can review the history to confirm the changes are accurate and authorized.
  • When inviting someone to a base where Omni is used, apply the principle of least privilege. Grant access only to what a person needs to do their job.
  • Omni can search the web on your behalf. Avoid asking it to look up or add information about real people if that data could contain personal or confidential details, since it may be sent out as part of the search.
  • Only users with Owner or Creator permissions can adjust Omni's settings. If you have questions about what Omni can or can't access in your workspace, contact your workspace owner.
