These rooms support wired and wireless screen sharing, hybrid video conferencing, Zoom meeting recording, and speech reinforcement — all controlled from two touch panels at the presenter location. Whiteboard camera sharing and advanced routing are available in select rooms.

Zoom Rooms Touch Panel
Controls the Zoom meeting.
•Start or join a meeting
•End the meeting

Use this panel for all Zoom meeting controls — do not run the meeting from your personal device.

Volume tip: The AV touch panel's In Room Sound controls program audio for all sources — including HDMI and wireless share. Use it as your primary volume control. If Zoom meeting audio isn't responding, try the Zoom Rooms touch panel volume instead.

I Want to Show My Screen |
"I want to show something from my laptop on the room displays."
Option A — Wired (HDMI)
An HDMI cable with USB-C adapter is co-located with the touch panels. Location varies by room — look for the cable near the AV controls.

Teams and Webex can be joined from the Zoom Rooms home screen.

Preferred method — avoids audio feedback Share your screen through the Zoom app rather than HDMI. If joining from a personal device, join without computer audio and with your microphone off.

Connecting via HDMI shows content on the room screens only — remote participants cannot see it. Use the Zoom app to share with remote participants. If you are unable to share your screen, ask the meeting host to enable screen sharing for participants.

I Want to Use Privacy Mode |
"I need to go off-camera for a moment without ending the meeting."
Privacy Mode isolates the room from remote participants without ending the meeting. Use it for side conversations, breaks, or sensitive in-room discussions.
Tap Enable Camera & Microphone Privacy Mode on the AV touch panel. An audible prompt will play and the touch panel border will flash red.
While Privacy Mode is active
•Remote participants see a privacy graphic instead of the room camera feed
•All room microphones are muted to the far end — the room can still hear remote participants
•Audible reminders play every 90 seconds

To resume
Tap Disable Camera & Microphone Privacy Mode on the AV touch panel.
If you also muted the Zoom Rooms touch panel while in Privacy Mode, you will need to manually unmute it after disabling Privacy Mode.

I Want to Record My Meeting (Zoom) |
"I want to record this session for later."
Zoom recording is user-initiated through the Zoom Rooms touch panel. You must be in an active Zoom meeting to record.
Start a Zoom Recording

Your recording will be sent to your email when processing is complete.
If the Record button is unavailable in an existing meeting, ask the host to enable recording for participants.

I Want to Amplify My Voice |
"I want the room speakers and remote participants to hear me clearly."
These rooms have a LAV (lavalier) microphone available at the presenter location for speech reinforcement. Please use it — even in smaller rooms, a microphone ensures remote participants and any recordings pick up your voice clearly, and provides an equitable experience for all participants.

I Want to Use the Whiteboard |
Available in select rooms — If you do not see a Whiteboard option under Advanced Options, this feature is not available in your room.
"I want to write on the whiteboard and have remote participants see it."
Where available, selecting the Whiteboard source routes the room camera to a preset that zooms in on the whiteboard surface — content is shown on all room displays and shared to remote Zoom participants.

Advanced Routing: Comparative Mode |
Available in select rooms — If you do not see routing options under Advanced Options, this feature is not available in your room.
"I want to show two different sources on different displays at the same time."
Where available, Comparative Mode lets you route two different sources to different display groups simultaneously — useful for comparing content or running two inputs at once.

Display configuration varies by room. Most rooms have a projector at the front. Some rooms also have a confidence monitor at the rear for the presenter.
