Using Gmail for Email and Microsoft 365 for Calendar

If you are using Gmail at Dartmouth and have already enabled forwarding for your email, these instructions walk you through the setup for using Gmail for email and Microsoft 365 for the calendar. Microsoft 365 is Dartmouth's official calendaring system, so you will want to keep that calendar up-to-date if you book meetings with other Dartmouth people.

Configure Microsoft 365

  1. Log into outlook.dartmouth.edu.
     
  2. Go to Settings (the cog icon), type "forwarding" in the search box, and click the link available from the search result.


     
  3. Check "Keep a copy of the forwarded messages" and then click "Save" so that calendar invites will be available in your Microsoft 365 account.


     
  4. Create a rule in Microsoft 365 that will move forwarded messages, except calendar invites, into a "Gmail at Dartmouth" folder. This means when you log into your Microsoft 365 mailbox (bwa.dartmouth.edu) you will only see messages that haven't been forwarded to your Gmail account, such as meeting invites. To do this, go to Settings, search for "inbox rules", and click the first link. Click the "+ Add new rule" button to create a new rule and fill out the following:
  • (1) Name: Archive except calendar
  • (2) Add a condition: Apply to all messages (last in the list)
  • (3) Add an action: Move to: Archiv
  • Click Add an except
  • (4) Type: Invitation
  • Leave Stop processing more rules checked.

Click Save. If you previously had other inbox rules, we recommend that you disable them.

Additional tips

  • Calendar invites should be accepted in Microsoft 365 (e.g. OWA, Outlook). You can optionally accept them in Dartmouth Gmail, but the requester will not receive your acceptance notification.
  • On computers, we recommend using a web browser (e.g. Chrome) to access your Dartmouth Gmail account, and to keep using whatever calendar app (e.g. OWA, Outlook) you have as Microsoft 365 remains the official calendar system at Dartmouth.
  • On mobile devices, you can install Google's Gmail app, or update your existing mail app to point to Dartmouth's Gmail. For calendar, you can use whichever calendar app you are using now; your calendar is not changing.
