Introduction

Zoom has rolled out new AI Companion features for Dartmouth: Meeting Summary and Smart Recording. Both features have been reviewed and have been found to comply with Dartmouth's AI guidelines.

These features are disabled by default and will require you to enable them if you would like to use them. Instructions for doing so are included later in this article. If you are not interested in using either of these features, they are not required.

 

Security, Privacy, and Accessibility

Zoom assures us that they do not use any of your audio, video, chat, screen sharing, attachments or other communications-like customer content (such as poll results, whiteboard and reactions) to train Zoom’s or its third-party artificial intelligence models. You can view Zoom’s guidelines on How Zoom AI Companion features handle your data.

However, please be sure not to record or store information that includes Personal Identifiable Information (PII). PII includes social security numbers (SSNs), driver's license numbers, credit card numbers, taxpayer identification numbers (TINs), passport numbers, financial account numbers, and personal contact information, such as street address or email address.

Zoom Companion AI Features

Meeting Summary with AI Companion

Meeting Summary with Zoom AI Companion allows hosts to initiate an AI-generated summary of their meeting. When the host enables this feature in a meeting, participants may automatically receive a summary after the meeting ends, if the host chose to share the summary with participants. Summaries for meetings you hosted can be managed from the web portal and will be sent through email, making it easy for attendees to review the key points of the meeting and the topics that were discussed. Meeting Summaries are supported in more than 30 languages.

All participants will see a notification when Meeting Summary has been enabled so that nobody is unaware.

Meeting Questions

AI Companion Meeting Questions allows participants to ask questions about the meeting currently in progress. You can type things such as "Catch me up", "Was my name mentioned", or even "what topics have been discussed". To use this feature, it must be enabled within the hosts settings, and then enabled for the particular meeting. It can be setup to run automatically for your meetings, or simply enabled on a meeting by meeting basis. Users can determine if they want it available to "all participants" or "all participants only from when they join"

Smart Recording with AI Companion

Smart Recording allows you to organize your cloud recording into sections called smart chapters, get the key takeaways in a quick and digestible format through recording highlights, identify action items to take after the meeting or webinar with next steps, and provide the host analytics on key meeting and conversation factors, including talk speed, talk-listen ratio, longest spiel (or monologue), filler word usage, and patience. This feature is especially useful for long meetings and webinars where you may want to create chapters for the recording for easier viewing.

When recording has started, all participants will see a notification that Smart Recording may be enabled so that nobody is unaware.

Panopto Considerations

When recording to the Zoom Cloud, recordings are automatically saved and added to your Panopto “My Folder.” Keep in mind that the recording in Panopto is the unaltered copy of the Zoom recording, and will not contain any post-recording edits you may make with Zoom Smart Recording. All Zoom Smart Recording content will remain in Zoom.

Please also keep in mind that the retention period for Zoom cloud recordings is 100 days. Information about the Zoom retention period can be found in this knowledge base article.

Zoom AI Companion features are managed within your Dartmouth Zoom account. They can be found under the AI Companion tab of the Settings menu in the web portal at https://dartmouth.zoom.us/.
